Free Landlord Inventory Template UK 2026

Download a free property inventory and check-in/check-out template. Room-by-room checklist with condition notes — essential for deposit disputes.

About This Template

This inventory template provides a room-by-room checklist for recording the condition and contents of your rental property at the start and end of a tenancy. It's your primary evidence in deposit disputes — without a signed inventory, the TDS will almost always rule against the landlord.

When to Use

  • Before a new tenant moves in (check-in inventory)
  • When a tenant moves out (check-out comparison)
  • During mid-tenancy inspections (interim condition record)
  • When making a deposit deduction claim

What's Included

  • Room-by-room checklist (kitchen, bathroom, bedrooms, living areas, hallway, exterior)
  • Condition rating scale (new, good, fair, poor, damaged)
  • Contents list with quantity and description columns
  • Meter readings section (gas, electric, water)
  • Key and fob register
  • Photo reference log (numbered to match inventory items)
  • Tenant and landlord signature blocks with dates
  • Check-out comparison column for end-of-tenancy

Important Notes

Take dated photographs of every room and any existing damage. Have the tenant sign the inventory at check-in — an unsigned inventory carries far less weight in TDS adjudication. Keep a copy for yourself and provide one to the tenant within 7 days of check-in.
